Microsoft 365 Outlook, Authenticator and Global Admin Access Issue

Investigated a business email issue where Microsoft Outlook would no longer connect to the customer’s Microsoft 365 mailbox. Outlook was displaying an error relating to an older GoDaddy Microsoft 365 sign-in process being retired.

Attempted to access the account through Microsoft 365 and Outlook Web Access, but sign-in was blocked by Microsoft Authenticator. The required approval could not be completed, which also prevented access to the Microsoft 365 administration portal.

Checked Office authentication settings, relevant Windows registry options and Microsoft Edge WebView2, and attempted the available Outlook troubleshooting procedures without resolving the underlying authentication problem.

A major concern was that it was initially unclear who held Global Administrator access to the Microsoft 365 tenant or who was responsible for managing the service. The customer did not have working administrator credentials or the ability to reset the Authenticator configuration.

Further investigation confirmed that the customer’s web developer currently manages the domain and Microsoft 365 environment. The existing administration and authentication arrangements were not clearly documented, leaving the customer dependent on that provider for access to the tenant.

I discussed the option of Boss IT taking over management of the Microsoft 365 environment if required, including establishing proper administrator access, more authenticator authorization methods, documenting the configuration and providing ongoing support. The customer was receptive to this option.

I followed up with the customer the following day. They confirmed that the web developer had advised they would address the Microsoft 365 issue and expressed appreciation for the investigation and follow-up assistance.

No disruptive changes were made to the mailbox, licensing or tenant while the current provider works to restore access. Boss IT remains available to step in and manage the Microsoft 365 environment properly if the customer decides further assistance is required.
